Our policies regarding cancellations, refunds, and rescheduling

1. General Cancellation Policy

We understand that plans can change. This Cancellation Policy outlines the terms and conditions for canceling or modifying your reservation with eventnighth.

All cancellation requests must be made in writing via email or through our booking system. Phone cancellations may be accepted at our discretion.

2. Free Cancellation Period

Free cancellation is available up to 24 hours before your scheduled visit time.

If you cancel your reservation at least 24 hours in advance, you will receive a full refund of any payments made, or no charge will be applied if payment was scheduled for arrival.

3. Late Cancellations (Within 24 Hours)

Cancellations made less than 24 hours before your scheduled visit may be subject to a cancellation fee.

The cancellation fee is typically 50% of the total booking value. This fee helps cover operational costs and lost opportunities.

In exceptional circumstances (medical emergencies, family emergencies, etc.), we may waive or reduce the cancellation fee at our discretion. Please contact us to discuss your situation.

4. No-Show Policy

If you fail to arrive for your scheduled visit without prior cancellation, you will be considered a "no-show."

No-shows are subject to the full booking charge. No refunds or credits will be issued for no-shows.

If you are running late, please contact us immediately. We may be able to accommodate a late arrival depending on availability.

5. Rescheduling

You may reschedule your visit to a different date or time, subject to availability.

Rescheduling more than 24 hours in advance: Free of charge, subject to availability.

Rescheduling within 24 hours: May be subject to a rescheduling fee of 25% of the booking value.

Rescheduling requests must be made by contacting us directly. We cannot guarantee that your preferred alternative date or time will be available.

6. Group Bookings

For group bookings (10 or more people), special cancellation terms may apply:

  • Free cancellation up to 48 hours before the scheduled visit
  • Cancellation between 24-48 hours: 25% cancellation fee
  • Cancellation within 24 hours: 50% cancellation fee
  • No-show: Full booking charge

Please refer to your specific group booking agreement for detailed terms.

7. Refund Processing

If you are entitled to a refund:

  • Refunds will be processed to the original payment method used for the booking
  • Processing time: 5-10 business days after cancellation confirmation
  • If payment was made in cash upon arrival, refunds will be issued via bank transfer or check
  • You will receive a confirmation email once the refund has been processed

8. Weather and Force Majeure

In the event of severe weather conditions or other circumstances beyond our control (force majeure) that prevent us from operating, we will:

  • Contact you as soon as possible to reschedule your visit
  • Offer a full refund if rescheduling is not possible
  • Provide alternative dates or times at no additional cost

We are not responsible for travel costs or other expenses incurred due to cancellations caused by force majeure events.

9. Special Events and Promotions

Bookings for special events, holiday periods, or promotional packages may have different cancellation terms. These will be clearly stated at the time of booking.

Please review your booking confirmation carefully for any special cancellation conditions.

10. Our Right to Cancel

We reserve the right to cancel your booking in exceptional circumstances, including but not limited to:

  • Venue closure due to maintenance or emergency
  • Insufficient bookings to operate a session
  • Safety or security concerns
  • Violation of our Terms & Conditions

If we cancel your booking, you will receive a full refund or the option to reschedule at no additional cost.

11. Disputes and Complaints

If you have any concerns about a cancellation charge or refund, please contact us immediately. We are committed to resolving disputes fairly and promptly.

All disputes will be handled in accordance with our Terms & Conditions and applicable Australian consumer law.
